Before you travel
Booking of flights:
Tickets can be purchased from selected travel agencies and via our website www.arcticairways.com. Or you can download our mobile app for free directly from the website. The app comes in handy when you might need to book flights directly from your smart phone.
When you book your flight please make sure that you the enter correct contact information (e-mail/phone no.) since this is our only way of reaching you, should contact be necessary.
If you book your flight via our website, you will receive your e-ticket with booking reference and travel itinerary directly upon the completion of the sales transaction. Please check your itinerary carefully and make sure that routing and travel dates correspond with your wishes.
Please remember to bring your ticket and itinerary to the airport on the departure date.
Taxes and fees:
Arctic Airways tickets include all taxes and fees as determined by Arctic Airways and airport authorities. Your ticket price will always be the total price to be paid, including all necessary fees and taxes.
Booking mistake:
In case you have made a booking mistake (ie. wrong travel dates/times/name) please contact the ticket issuer (where you bought the ticket) immediately. If you purchased your ticket via our website we shall assist you in any possible way, according to the rules which applies to your ticket. Changes may, in some cases, cause additional fees. In case your travel arrangement is changed to a more expensive departure rate, the difference will be charged in connection with the issuing of a changed ticket. Furthermore, you may be charged a ticket change fee of Dkr. 200 per ticket.
Change or annulment of your travel:
Changes or annulments should be executed no later than two hours prior to departure and according to the applicable ticket rules. Some ticket classes may not be eligible for refund, however you may apply for refund of paid ticket taxes and fees.
Refund applications should be applied for via the ticket issuer or via our website by e-mail to: sales@arcticairways.com. A refund fee of Dkr. 200 per ticket will be charged.
Personal name change:
In case you have changed your full name between the time of purchase of your ticket and your chosen departure date, you will need to change your issued ticket. You should contact the ticket issuer. In case a personal name change on your ticket has not been executed on the departure date, you may be denied boarding the aircraft. In order to avoid a name change fee you may need to present an official document documenting the personal name change. In case such documentation is not presented, a name change fee of Dkr. 200 per ticket applies.
Credit card payment:
Should you choose to use a credit card where a transaction fee applies with Arctic Airways, extra fees are applicable in order to cover our costs in this regards.
Missing booking reference:
Should you be unable to identify your booking reference, please contact the ticket issuer for assistance.
Seat reservation:
Booking through www.arcticairways.com, you may choose your preferred seat on the aircraft. This can be a particular advantage if several passengers are traveling together and wish to be seated close to each other. Should you choose not to use the optional seat reservation, a seat will be allocated for you upon check-in on the departure date.
Group booking:
If you are traveling as a group going to Greenland, a special group fare can be provided by a travel agency or by request to sales@arcticairways.com. Groups are defined as a minimum of 10 passengers traveling together.
Meeting time in the airport: We recommend that you arrive at the airport no later than two hours before departure time. At your check-in it is to your advantage that you have prepared all necessary travel documents for presentation, including your ticket/booking reference together with valid personal ID with your picture (passport or driver’s license).
Check-in:
Please note that check-in for your flight closes a different times, depending on the departure airport:
In Europe check-in closes 120 minutes prior to scheduled departure time.
In Greenland check-in closes 60 minutes prior to scheduled departure time.
In Copenhagen check-in closes 90 minutes prior to scheduled departure time.

Check-in machines:
Check-in machines are located in all airports served by Arctic Airways
Baggage:
Checked baggage: Your chosen ticketing class determines how much baggage you are allowed to check in. Please note there are separate rules for minors and infants. Please look up the menu Ticketing class and rules in order to find your baggage allowance.
Hand luggage: All passengers are allowed one piece of hand luggage (max 8 kilos and 55 x 40 x 23 cm) together with one small, personal item. The allowance does not apply for infants.
Oversized baggage: In case you are carrying oversized baggage such as sports equipment or music instruments, please contact our help desk to check for any limitations and additional fees. You may reach us by e-mail: sales@arcticairways.com . Please consider that checking in oversized baggage may require additional time when checking in for your flight.
Customs clearance:
If you are traveling onwards with another airline after your Arctic Airways flight, you should often be able to check your luggage through to your final destination. We recommend that you ask for this option at your initial check-in during your journey.
Ticket control:
You should expect ordinary ticket control prior to departure, and you will be asked to present your valid travel documents and identification (passport). A valid travel document is either your boarding card, a travel document containing a barcode or an SMS ticket.
Embarking the aircraft:
In order to ensure on time departure we kindly ask all passengers to be present at the airport gate as early as possible, before gate closing. Arctic Airways reserves the right to reject passengers who arrives at the gate after the time printed on the boarding card.
Traveling with children:
Children less than 2 years of age: Children who is not 2 years of age on the departure day pays 10 per cent of the regular ticket price, and are not allowed their own passenger seat in the aircraft cabin. In case you require a passenger seat for your child, the price is 50 per cent of the regular ticket price.
Children between 2 and 11 years pays 50 per cent of the regular ticket price. Discount does not apply to taxes and fees.
Unaccompanied minors (UM):
Children between the age of 5 and 11, travelling unaccompanied, should be under supervision of an adult during their entire journey. Unaccompanied minors are to be reported to our sales office no later than two days prior to departure, as we are able to ensure safe travel for only a limited number of unaccompanied children per departure.
Children aged between 12 and 15 years can travel unaccompanied without supervision.
Onboard service:
On journeys between Europe and Greenland we serve free meals (sandwiches) to our passengers.
Drinks onboard:
We will serve you coffee, tea and water at no cost onboard.
We offer a wide variety of juice, soda, beer, wine and liquors at competitive prices
Smoking onboard:
Smoking, including the use of E-cigarettes, is not permitted onboard Arctic Airways aircraft.
Onboard tax-free sales:
En route between Europe and Greenland you will find attractive offers of tax-free goods onboard (liquors not included) . Amongst our offerings are tobacco and cosmetics, and also goods for children. We accept VISA, MasterCard and cash notes in Euro and USD, as well as Danish krone.
Baggage irregularities:
Arctic Airways carries baggage under the provision that the total load on the aircraft does not exceed the maximum permitted load. In case of irregularities such as missing or damaged baggage, please contact the passenger service desk in the arrival hall in the airport.
Forgotten items onboard.
In case you forgot any personal items onboard, please contact the passenger service desk in the arrival hall in the airport immediately.
Customs clearance:
If your journey has an onwards connection after traveling with Arctic Airways, in most cases you will be able to check your baggage through to your final destination. *We recommend that you ask for this option at your first check-in point during your journey.

Pregnant:
Certain limitations may apply for pregnant travelers flying with Arctic Airways. Pregnancy should be mentioned when booking, and each passenger booking will be evaluated individually.
Special requirements:
In order to ensure that we are able to provide any required assistance, we kindly ask that the ticket and the required assistance are booked together and no later than 48 hours prior to departure.
